Cancellation Policy

Stillwater Charters: Refund & Cancellation Policy At Stillwater Charters, we aim to provide an exceptional experience on the water. Because our trips require significant preparation—including fuel, bait, and the reservation of a professional captain—we adhere to the following policy to ensure fairness to both our guests and our crew. 1. Reservations & Deposits A deposit (typically 20–30%) is required at the time of booking to secure your date and time. The remaining balance is due on the day of the charter and can be paid via cash or credit card. 2. Customer Cancellations We understand that plans can change. To receive a refund of your deposit, we require notice within the following timeframes: 7+ Days Notice: Cancellations made 7 or more days before the scheduled departure will receive a full refund of the deposit (minus any minor processing fees, if applicable). 48 Hours to 7 Days Notice: Cancellations made within this window are eligible for a one-time reschedule or a credit toward a future charter. Less than 48 Hours / No-Show: Cancellations made less than 48 hours before departure, or failure to show up at the docks, will result in forfeiture of the full deposit. 3. Weather & Safety Cancellations The safety of our guests is our absolute priority. The Captain has the sole discretion to cancel a trip due to unsafe weather conditions (e.g., high winds, lightning, or small craft advisories). Captain’s Call: If the Captain cancels the trip due to weather or mechanical issues before departure, you will be offered the choice of a full refund or a reschedule date. Inclement Weather During Trip: If a trip is cut short due to weather after departure, the cost will be pro-rated based on the time spent on the water. Note: We fish in light rain. Standard "less than ideal" weather that does not pose a safety risk is not grounds for a refund. 4. Booking Modifications If you need to change the number of people in your party or adjust your start time, please contact us at least 48 hours in advance. We will do our best to accommodate your request based on vessel capacity and availability. 5.
